Robert Walters is excited to partner with a leading boutique Australian investment manager for the recruitment of a Portfolio Administrator to join their high performing team. This is a 12-month Fixed Term Contract to cover for maternity leave.

About the company:

Our client is a leading boutique Australian investment manager based in Brisbane, Queensland. They specialise in delivering client-focused, long-term investment solutions to institutions, advisers, and individual investors.

This role offers an exciting opportunity to support the portfolio administration team, responsible for a range of activities such as client reporting, transactional processing, security settlement and reconciliations. Working closely with internal and external stakeholders, you will ensure timely and accurate reporting of portfolio transactions and valuations.

About the role:

As a Portfolio Administrator, your primary responsibility will be assisting the portfolio administration team in delivering high-quality client reporting, timely transactional information and security settlements and maintaining good custodian relations. You will also ensure portfolio data is accurately maintained and communicated to stakeholders and any process changes are documented when necessary. Your ability to provide accurate information in a timely manner will be key to your success in this role.


Key responsibilities include:

• Reconciliations: Perform daily cash and stock reconciliations, investigating discrepancies, and reporting monthly portfolio valuations to custodians.
Client account data maintenance: Set up new clients and portfolios in Iress IPS, maintain client account information, and update changes in Iress Xplan.
Banking: Process daily, monthly, and quarterly banking transactions into and out of portfolios while monitoring online banking platforms.
Unit price reconciliations: Reconcile daily unit prices with fund administrator records and escalate discrepancies.
Monthly reporting: Prepare transactional reports for institutional clients monthly, quarterly, and annually, including ad hoc reports as required.
Documenting process changes: Assist in documenting new processes and procedures as needed.

About you:

The ideal candidate for this Portfolio Administrator role brings a solid background in portfolio administration within financial services. At a minimum, you will have excellent attention to detail, strong transactional/administration experience in financial services, and the ability to manage complex portfolio data efficiently. A demonstrated ability to handle financial processes and deliver within agreed standards and deadlines is essential.

Key qualifications and skills:

• Bachelor’s degree in finance, accounting, or commerce (desired)
Demonstrated experience from an operational role within financial services, custody or ideally portfolio or fund administration.
• Demonstrated high attention to detail and accuracy in managing investment data.
• Strong knowledge of portfolio administration processes and financial sector operations.
• Ability to meet service standards for reconciliations, banking processes, and client data maintenance.
