Facilities Manager - Asia Pacific
This role offers you the chance to make a meaningful impact by leading vendor, lease, and landlord relationship management, driving contract negotiations, and ensuring a premium front-of-house and office facilities experience. You will work closely with both regional business and technology teams as well as global facilities colleagues, fostering cross-border collaboration and regular travel throughout APAC.
What you'll do:
As an Facilities Manager for Asia Pacific based in Sydney on a full-time permanent basis with five days onsite requirement each week, you will be entrusted with overseeing a complex portfolio of offices and data centres throughout the Asia-Pacific region.
- Manage the complete life cycle of leases across APAC locations including key dates, options for renewal or expansion/contraction, make-goods requirements, while cultivating positive relationships with landlords.
- Maintain an organised lease calendar and collaborate with Legal and Finance teams to ensure commercial terms are met and compliance standards are upheld.
- Lead vendor selection processes including RFPs, negotiations, renewals for both soft and hard services; establish clear SLAs/KPIs and conduct quarterly business reviews to optimise service delivery.
- Drive cost efficiency, quality improvement, risk mitigation strategies; consolidate and optimise the vendor panel where appropriate to enhance operational outcomes.
- Set high standards for front-of-house operations including reception services, visitor management protocols, mailroom functions, meeting room coordination to deliver a premium experience for employees and guests.
- Oversee space planning activities as well as day-to-day office facilities services to ensure smooth workplace operations.
- Plan and execute fit-outs, refurbishments, infrastructure upgrades by engaging designers, architects and engineers; manage scope control, budgeting and scheduling including works outside normal business hours when required.
- Provide technical oversight by leading the Technical Facilities Manager responsible for critical MEP/HVAC/electrical systems maintenance in data centres; ensure early identification of issues with safe resolution documented to standard.
- Ensure statutory compliance across jurisdictions covering WHS/EHS regulations, fire safety measures and permit management; maintain accurate records and method statements at all times.
- Partner with Technology teams on facilities aspects of business continuity planning/disaster recovery; manage incidents effectively including after-hours change windows as needed.
- Own OPEX/CAPEX budgeting processes including forecasting accuracy and invoice management; deliver savings initiatives while providing clear portfolio reporting to regional/global stakeholders.
- Work collaboratively across geographies with multiple teams; travel regularly within APAC to lead projects, conduct audits and review vendor performance.
What you bring:
- Extensive experience spanning over ten years in multi-site facilities or workplace management roles across APAC markets - including direct ownership of leases and vendor relationships.
- Proven track record working within financial services or other high-availability environments where reliability is essential.
- Demonstrated commercial acumen coupled with negotiation skills specifically related to lease agreements and service contracts.
- People leadership experience encompassing direct reports as well as third-party providers; excellent stakeholder management abilities supported by strong communication skills.
- Hands-on project management expertise in delivering fit-outs or workplace changes; formal PM certification such as PMP or PRINCE2 would be advantageous but not mandatory.
- Working knowledge of building services plus familiarity with data centre environments - capable of leading technical discussions without needing hands-on engineering skills.
- Comprehensive understanding of WHS/EHS regulatory requirements applicable across various APAC jurisdictions.
- Proficiency using CAFM/IWMS platforms alongside MS Office suite; exposure to AutoCAD would be helpful though not essential.
