AO3 Operations Support Officer

An exciting opportunity has arisen for three Operations Support Officers to join a highly respected government department based in the heart of Brisbane CBD. This role offers you the chance to play a vital part in supporting essential transport operations, working within a collaborative and inclusive team environment, ensuring the smooth processing of heavy vehicle permits, contributing to business planning, and providing valuable support to both internal and external stakeholders.

What you'll do:

  • Process heavy vehicle permit applications with meticulous attention to accuracy, ensuring all documentation is managed according to established standards.
  • Provide timely and considerate responses to enquiries from regional teams, local government bodies, national regulators, and law enforcement agencies regarding class permits.
  • Utilise information systems effectively to input, update, query, extract, and synthesise data relevant to permit processing activities.
  • Respond empathetically and professionally to queries, compliments, complaints, and appeals from both internal colleagues and external stakeholders.
  • Liaise collaboratively with other departments, interstate agencies, Commonwealth bodies, industry peak organisations, and police services as required by operational needs.
  • Draft or review departmental correspondence in line with official standards to ensure clear communication across all levels of the organisation.
  • Organise your workload efficiently to meet agreed business outcomes, performance indicators, and deadlines while maintaining high quality standards.
  • Promote a safe and healthy workplace by adhering strictly to workplace health and safety legislation, codes of practice, standards, and departmental policies.
  • Support business planning processes by contributing insights gained through daily operational activities.
  • Work closely with the Operations Officer to achieve shared goals within the Heavy Vehicle Access Team.

What you bring:

  • Demonstrated experience in administrative support roles within large organisations or government settings where accuracy is paramount.
  • Proficiency in using information management systems for data entry, extraction, analysis, and reporting related to operational processes.
  • Excellent written communication skills with proven ability to draft or review formal correspondence according to set guidelines.
  • Strong interpersonal skills enabling you to respond sensitively to enquiries from diverse stakeholders including government agencies and industry bodies.
  • Ability to organise tasks effectively under pressure while meeting strict deadlines without compromising quality or compliance requirements.
  • A collaborative approach that fosters teamwork within multi-disciplinary environments focused on shared objectives.
  • Commitment to upholding workplace health and safety principles as well as relevant legislative requirements at all times.
  • Experience handling confidential information responsibly in accordance with organisational policies.
  • Capacity for problem-solving when addressing complex queries or appeals related to permit processing activities.
