Product Coordinator/Specialist

If so, we invite you to apply to this exciting opportunity to join Seima as their Product Coordinator/Specialist, supporting the delivery of high-quality products that meet technical, quality, and compliance standards.

About the role:
In this role, you will play a critical role in supporting Category Managers by coordinating product development activities, maintaining accurate product data across systems, and ensuring all technical documentation is complete, compliant, and launch ready. This role requires exceptional attention to detail, strong organisational skills, and the ability to manage multiple priorities while working collaboratively with internal teams and overseas suppliers.
You will be responsible for ensuring data integrity across systems and the company website while proactively managing product lifecycle activities including launches, updates, and discontinuations.

Key responsibilities:
• Product development coordination:

  • Coordinate product development activities under the direction of Category Managers.
  • Request, track, and follow up on samples, technical drawings (2D/3D), certifications (e.g., WaterMark/WELS), images, and digital assets.
  • Maintain trackers for new product development (NPD), product changes, and end-of-life/discontinuations.
  • Support creation and collation of installation instructions, packaging specifications, and technical documentation.
  • Develop and maintain the Special Order / “Vault” database for Residential and Projects products.

Product data & systems management:

  • Create and maintain stock codes and BOMs in EXO (ERP).
  • Ensure accurate product data across EXO (ERP), WMS, website, and internal libraries (SharePoint).
  • Upload, manage, and version-control datasheets, installation instructions, certificates, images, and 2D/3D files.
  • Maintain strong data discipline and document version control processes.

• Category & lifecycle support:

  • Assist Category Managers with product launches, updates, lifecycle management activities, competitor benchmarking, research, and market analysis.
  • Prepare internal product handover packs for Sales, Marketing, Customer Service, and Supply Chain teams to ensure complete information prior to launch.

• Quality assurance & compliance:

  • Prepare and maintain quality assurance documentation for overseas factories and Australian inspections.
  • Record non-conformances and coordinate rectification actions with manufacturers under Category Manager guidance.
  • Ensure documentation supports compliance requirements for audits.

Key deliverables:

  • Accurate stock codes, product builds, and master data in EXO (ERP).
  • Consistent product information across all systems and channels.
  • Timely coordination of samples, assets, and documentation aligned with development timelines.
  • Complete quality assurance documentation delivered on time.

Skills & capabilities:

  • The ideal candidate will have:
  • Exceptional attention to detail with a structured working style.
  • Strong written/verbal communication skills for supplier correspondence (including overseas).
  • The ability to interpret technical product information confidently.
  • Excellent organisational skills with the ability to manage multiple priorities effectively.
  • A proactive mindset with collaborative problem-solving abilities.

Experience & qualifications:
Essential:

  • Experience in a coordination or administration role within product development, retail/manufacturing/sourcing industries or similar fields.
  • High proficiency in MS Excel and Microsoft Office as such.
  • Strong document control skills with disciplined data management practices.

Desirable:

  • CAD experience
  • Familiarity with ERP/PIM systems (particularly MYOB EXO).
  • Exposure to supplier coordination or quality documentation processes.
  • Experience managing digital assets such as 2D/3D files/images.
