As Administration Manager, you will take ownership of the day-to-day operations of a busy Melbourne office, ensuring seamless functionality, exceptional service standards, and a positive employee and client experience. You will lead and mentor a dedicated administration team, drive continuous improvement initiatives, and act as the key liaison between local and national operations to ensure alignment with broader business objectives.

This is a hands-on leadership role suited to someone who balances strategic thinking with operational execution and thrives in a collaborative, inclusive environment.

Key Responsibilities:

  • Lead and manage all administrative and front-of-house operations, ensuring a professional, welcoming, and efficient workplace environment.

  • Oversee facilities management, space utilisation, hybrid attendance coordination, and workplace services in line with health, safety, and wellbeing standards.

  • Act as the central operational contact for the Melbourne office, partnering with national teams to ensure consistency of processes and standards.

  • Drive business continuity planning, risk management processes, and emergency preparedness initiatives.

  • Monitor workplace experience metrics and implement initiatives to enhance engagement, service delivery, and productivity.

  • Mentor, develop, and performance-manage the administration team, fostering accountability, collaboration, and professional growth.

  • Manage resource allocation across competing priorities, including recruitment, onboarding, and training of administrative staff.

  • Oversee executive support services including meeting coordination, travel arrangements, procurement, and vendor management.

  • Ensure administrative processes are compliant, well-documented, and scalable to support business growth.

  • Prepare and present structured operational and utilisation reports to senior stakeholders, providing data-driven insights and recommendations.

The Ideal Candidate:

The successful candidate will be an experienced administration leader who can demonstrate:

  • Proven experience managing administrative operations within a complex or multi-disciplinary organisation.

  • Strong leadership capability, with a track record of mentoring and developing high-performing teams.

  • Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and collaboration platforms such as Teams or SharePoint.

  • Demonstrated analytical skills, with the ability to interpret data, generate operational reports, and present insights confidently to senior stakeholders.

  • Experience with facilities management systems, procurement platforms, or financial tracking tools (highly regarded).

  • Exceptional written and verbal communication skills, with the ability to engage effectively across diverse stakeholder groups.

  • Strong organisational and project management skills, with the ability to manage multiple priorities while maintaining attention to detail.

  • Sound understanding of compliance, documentation standards, and scalable process design.

  • Experience supporting onboarding and offboarding processes to ensure a seamless employee lifecycle experience.

  • A proactive, solutions-focused mindset with a commitment to continuous improvement and service excellence.
