As Administration Manager, you will take ownership of the day-to-day operations of a busy Melbourne office, ensuring seamless functionality, exceptional service standards, and a positive employee and client experience. You will lead and mentor a dedicated administration team, drive continuous improvement initiatives, and act as the key liaison between local and national operations to ensure alignment with broader business objectives.

Key Responsibilities:

Lead and manage all administrative and front-of-house operations, ensuring a professional, welcoming, and efficient workplace environment.

Oversee facilities management, space utilisation, hybrid attendance coordination, and workplace services in line with health, safety, and wellbeing standards.

Act as the central operational contact for the Melbourne office, partnering with national teams to ensure consistency of processes and standards.

Drive business continuity planning, risk management processes, and emergency preparedness initiatives.

Monitor workplace experience metrics and implement initiatives to enhance engagement, service delivery, and productivity.

Mentor, develop, and performance-manage the administration team, fostering accountability, collaboration, and professional growth.

Manage resource allocation across competing priorities, including recruitment, onboarding, and training of administrative staff.

Oversee executive support services including meeting coordination, travel arrangements, procurement, and vendor management.

Ensure administrative processes are compliant, well-documented, and scalable to support business growth.

Prepare and present structured operational and utilisation reports to senior stakeholders, providing data-driven insights and recommendations.
The Ideal Candidate:
The successful candidate will be an experienced administration leader who can demonstrate:

Proven experience managing administrative operations within a complex or multi-disciplinary organisation.

Strong leadership capability, with a track record of mentoring and developing high-performing teams.

Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and collaboration platforms such as Teams or SharePoint.

Demonstrated analytical skills, with the ability to interpret data, generate operational reports, and present insights confidently to senior stakeholders.

Experience with facilities management systems, procurement platforms, or financial tracking tools (highly regarded).

Exceptional written and verbal communication skills, with the ability to engage effectively across diverse stakeholder groups.
