Join a thriving Melbourne team as an Executive Assistant & Office Coordinator, supporting the CEO and keeping daily operations running seamlessly. This is a hands-on role for someone who loves being organised, proactive, and people-focused—owning everything from executive support to office coordination and onboarding, while helping create a positive, high-performing workplace.

About the role
This is a dynamic, dual-focused position where no two days look the same. You’ll act as a trusted partner to the CEO and executive team, ensuring their time is optimised and priorities are managed seamlessly. At the same time, you’ll take ownership of the office environment—creating a well-organised, welcoming, and high-functioning workplace that supports collaboration and productivity. From coordinating leadership activities to enhancing the employee experience through onboarding and events, you’ll play a key role in keeping both people and operations running smoothly.

Key responsibilities:
• Manage complex diaries, inboxes, and travel for the CEO and leadership team
• Coordinate meetings, prepare agendas, and track follow-ups
• Support with presentations, documents, and expense management
• Oversee office operations including supplies, facilities, and vendor management
• Act as the first point of contact for visitors and general enquiries
• Assist with onboarding new starters and support People & Culture initiatives
• Plan and coordinate internal events and team activities

What we’re looking for:
• Proven experience in an EA and/or office coordination role
• Highly organised with the ability to manage competing priorities
• Strong communication and stakeholder engagement skills
• Proactive, adaptable, and solutions-focused mindset
• Professional, discreet, and confident handling sensitive information
• A team player who enjoys creating a positive workplace culture
