Robert Walters Sydney is looking for their next outstanding Office Manager to join their high performing, vibrant, energetic, social Sydney office!

The role?

Monday - Friday
Based in our Martin Place office, 2 minutes walk from the train station
Opportunity to work from home 1 day per week

Executive Support

  • Diary, email and phone management for the Senior Director where required.
  • Project work as delegated/directed by the Senior Director.
  • Booking travel bookings for staff when required
  • Event/Meeting Management – Responsible for office-wide event management including the coordination of clients for internal functions and meetings.
  • Assist in induction of new staff by communicating information regarding general office policies and
  • procedures.
  • Ensure any changes to company policies, procedures, forms, and standard letters are implemented as
  • directed.

Office duties and general administration

  • Dealing with general enquiries via phone, teams or email communication from candidates, triaging to relevant consultants
  • Being a huge driver for office culture! You are GO TO person to help solve queries, drive fun, plan office wide offsites, high achievers events, monthly awards and quartley offsite celebrations
  • Responsible for weekly grocery orders for the kitchen and drink stock for Friday drinks
  • Responsible for the maintenance of the Office Security Register and the distribution/retrieval of security
  • passes.
  • Manage the distribution car park passes, including liaising with the relevant suppliers and arranging the
  • necessary payments.
  • Assist with logistics of office events ran by Consultants - catering, event set up etc.
  • Liaising with the marketing team for ordering company stationary, merchandise, marketing material etc.
  • and ensuring there is always supply available within the office.
  • Ordering of Candidate Placement Gifts and Onsite Gifts.
  • Responsible for delegating OH&S inspections, managing OH&S and updating/clearing OH&S notice
  • boards.
  • Generating and managing reports on a weekly, monthly and/or ad hoc reports basis for both internal
  • operations & client requirements
  • Maintain the general appearance of the office, enforcing the professional expectations and global
  • Robert Walters’ policies.
  • Coordinating, collating and checking monthly expense claims.
  • Providing back up support for CV formatting and contract administration duties where required.
  • Regular liaison with internal departments (including HR, Payroll and Credit) to ensure all requirements are
  • met to ensure smooth day-to-day operations.
  • Updating the daily absentee calendar
  • Report preparation/production (results, financial, etc)
  • Liaising with building management to address issues and coordinate maintenance and repairs.
  • Liaising with exiting office suppliers as and when required (e.g. Zip tap, plants, couriers)
  • Maintain current seating plans, phone list and organisational charts for the office.
