Team Assistant/Office Coordinator

A highly reputable and well-established business in Sydney CBD is seeking an organised proactive Team Assistant /Office Coordinator to join their team. This is a pivotal position where you will act as the organisational backbone of the office. You'll be providing high-level support to senior stakeholders while ensuring smooth day-to-day operations. You will gain exposure to leadership, strategic projects and broader business administration in a fast-paced, professional environment. This opportunity will suit someone who enjoys variety, takes pride in being dependable, and thrives in a role where no two days are the same.

This is a broad and dynamic position combining executive support with office coordination and business administration.

Responsibilities will include:

  • Providing comprehensive support to senior leaders, including diary management, meeting coordination and domestic/international travel arrangements
  • Drafting professional correspondence, letters and formal documentation on behalf of stakeholders
  • Preparing presentations, reports and meeting materials for leadership discussions
  • Coordinating leadership and board meetings, including collating and distributing documentation
  • Acting as a trusted liaison between senior stakeholders and internal/external contacts
  • Overseeing day-to-day office operations, facilities and supplier management
  • Managing shared inboxes, correspondence and general administrative workflow
  • Coordinating internal events, meetings and team initiatives
  • Maintaining digital filing systems and ensuring accurate document management
  • Assisting with financial administration including invoice processing, expenses and record-keeping
  • Supporting investment and portfolio administration through maintaining records, organising investment documentation and monitoring key correspondence
  • Downloading and filing market updates, statements and investment-related materials
  • Preparing documentation for review, signing and distribution to external advisors and service providers
  • Liaising with accountants, advisors and other professional stakeholders as required
  • Assisting with reporting packs and maintaining accurate data across internal tracking systems
  • Supporting general governance, compliance and business administration activities
  • Contributing to process improvements to enhance operational efficiency
