Our client, a leading player in the mineral sands processing industry with over three decades of experience, is seeking an Executive Assistant to join their team. This role offers the opportunity to work closely with top executives, including the CEO, CFO, General Manager Sustainability and Project Director. The successful candidate will be instrumental in ensuring seamless support for these executives, enabling them to focus on strategic objectives. This role also includes responsibility for the smooth running of the Melbourne office and fostering a culture of meeting discipline and corporate document control.

What you'll do:


As an Executive Support Officer, you will play a pivotal role in providing support to the Chief Executive Officer along with other key executives. Your primary responsibility will be to ensure that these executives are seamlessly supported in all aspects of their work. This involves maintaining a current understanding of their daily and weekly priorities, managing their travel arrangements, coordinating internal and external events, and meticulously organising their schedules. You will also administer the company's corporate records and ensure that meetings are well planned and executed. Additionally, you will contribute towards creating a productive work environment by supporting efficient operations.

  • Collaborate with managers and colleagues in the proactive identification and management of health and safety hazards.
  • Maintain a current understanding of daily and weekly priorities for the CEO to optimise calendar management.
  • Oversee detailed travel arrangements for CEO, and other Executives as requested.
  • Coordinate internal and external events as requested by CEO or other Executives.
  • Manage the CEO’s schedule, attending to all details (e.g. logistics, time zones) to meet prioritised daily and weekly deliverables.
  • Administer company’s corporate records (including filing and archiving systems).
  • Ensure meetings are well planned, communicated and resourced as required.
  • Support the effective and efficient operations of the work environment.
  • Managing daily office operations such as ordering stationery, ensuring meeting rooms are well-prepared and equipped, coordinating maintenance services, and overseeing general office upkeep.

What you bring:


The ideal candidate for this Executive Assistant position brings abundant initiative and can work independently to meet deadlines. Proficiency in Chinese would be advantageous but is not essential. You should possess strong problem-solving skills along with exceptional English language communication and interpersonal skills. A results-oriented mindset is crucial for this role, as is proficiency in the Microsoft Office suite of software programs. The role requires a highly organised individual with a communicative and collaborative approach.

  • Minimum 5+ Years of experience as an Executive Assistant supporting senior staff
  • Abundant initiative and the ability to work with minimal supervision
  • Chinese language skills would be advantageous but not essential
  • Strong problem-solving and consultation skills
  • Exceptional English language communication and interpersonal skills
  • Results-oriented mindset with a focus on delivering outcomes
  • Proficient in Microsoft Office suite of software programs
  • Highly organised individual with a communicative and collaborative approach
