Executive Assistant - 9 months FTC

Our client is seeking a highly skilled Executive Assistant to join their team based in Sydney CBD on a 9 months fixed-term mat leave contract. This role offers the opportunity to work closely with the Head of and his wider team across Singapore and Sydney providing high-level support and anticipating their needs. The successful candidate will be a reliable, self-motivated individual who can effectively collaborate with various business units and handle sensitive information with discretion.

This role is hybrid, with 2 days working from home.

What you'll do:

As an Executive Assistant, your primary role will be to assist the Head of and his team based out of Sydney. You will proactively provide high-level support, manage calendars across different time zones, coordinate meetings, and handle travel arrangements. Your role will also involve responding to enquiries from internal stakeholders, handling confidential information with discretion, managing expenses, and processing vendor invoices. Your ability to anticipate needs, solve problems before they escalate, and use technology effectively will be key to your success in this role.

  • Provide high-calibre support to the Head of
  • Manage calendar for the APAC team handling different time zones
  • Coordinate meeting rooms and logistical arrangements
  • Support travel management for team members
  • Respond promptly and tactfully to enquiries from internal stakeholders, partners and senior executives
  • Handle confidential information with due care and discretion
  • Ensure submission of expenses incurred on Concur
  • Process vendor invoices & purchase orders for paying suppliers across Sydney and Singapore offices


What you bring:

The ideal candidate for the Executive Assistant role brings a minimum of 5 years' experience in a similar role. You possess excellent written English skills with solid business writing abilities. Knowledge of French would be advantageous. Your proven communication skills are complemented by strong interpersonal abilities and a keen sense of tact and diplomacy. You are rigorous, detail-oriented, results-driven, able to multitask effectively, manage your time well, and perform under pressure with minimal supervision. Proficiency in Word, Excel, Outlook, and PowerPoint is essential.

  • Minimum 5 years of experience as an executive assistant
  • Excellent written English; solid business writing skills
  • Knowledge of written and spoken French is an advantage
  • Proven communication skills; Strong interpersonal skills; keen sense of tact and diplomacy
  • Rigorous and detail- and results-oriented
  • Effective multitasker with excellent time management and prioritization capabilities
  • Ability to perform under pressure with little or no supervision
  • Proficiency in Word, Excel, Outlook and PowerPoint
