The Role:

As an Executive Assistant, you will immerse yourself in a dynamic environment where your organisational ability will be essential. You will be required to anticipate needs proactively while fostering positive relationships across all levels of the team and organisation. You will be instrumental in ensuring that executive operations run smoothly so that strategic objectives can be achieved efficiently.

In addition, your key responsibilities will be:

  • Coordinate and manage the Executive General Manager’s calendar by scheduling meetings, appointments, and travel arrangements while ensuring all commitments are met efficiently.
  • Prepare agendas, reports, presentations, and other materials for internal and external engagements.
  • Attend meetings to take minutes, track action items, and ensure follow-ups are completed.
  • Handle sensitive correspondence with discretion and professionalism.
  • Monitor, prioritise, and respond to emails on behalf of the EGM to ensure prompt communication with both internal teams and external partners.
  • Assist in preparing reports, budgets, business plans, risk registers, training registers, presentations for external meetings or forums, and responses to shareholder or board enquiries.
  • Liaise with shareholders, board members, executive committee members, industry contacts, partners, and other stakeholders to ensure all communications reflect the EGM’s priorities.

About you:

You will bring proven experience supporting senior executives within fast-moving environments where adaptability is crucial.

Your ability to remain calm under pressure while delivering consistent results will set you apart as an invaluable member of the team.

In addition, you will ideally have:

  • Demonstrated proficiency in Microsoft Word, Excel, PowerPoint, Outlook applications with experience producing high-quality documents under tight deadlines.
  • Extensive experience in a broad range of administration functions including diary management, travel coordination, document preparation, minute taking, and confidential record keeping.
  • Exceptional organisational abilities with strong attention to detail.
  • Ability to build rapport quickly with internal colleagues and external partners through effective communication whilst exercising discretion in handling sensitive matters.
  • Ability to manage competing priorities while maintaining accuracy under pressure.
