What you'll do:
- Act as a trusted partner to senior leaders by proactively managing complex calendars, meetings, and competing priorities with exceptional attention to detail.
- Prepare comprehensive agendas, take high-quality minutes during meetings, and diligently track action items to ensure ongoing progress across all initiatives.
- Handle confidential correspondence and sensitive communications with sound judgement and discretion at all times.
- Serve as a professional interface between partners, internal teams, clients, and external stakeholders, ensuring clear communication flows throughout the business.
- Oversee the smooth running of the office environment by maintaining organisation, professionalism, and readiness for a high-performing consulting business.
- Manage office logistics including facilities management, supplier relationships, technology needs, and shared services coordination to reduce friction for leaders and teams.
- Coordinate meetings, workshops, and internal events with polish, ensuring every detail is considered for successful execution.
- Draft and edit high-quality business documents such as reports, presentations, board materials, proposals, and tender submissions to support strategic objectives.
- Support strategic projects and change activities as priorities evolve, assisting with staff coordination, scheduling, operational planning, and business initiatives.
- Contribute actively to HR processes including onboarding new employees, offboarding departing staff members, handling employee administration tasks, and nurturing a positive workplace culture.
What you bring:
- Demonstrated experience in a senior Executive Assistant or Office Manager role, or similar hybrid position involving both executive support and office operations responsibilities.
- Exceptional organisational skills with proven ability to manage complexity while balancing multiple competing demands effectively.
- Strong written and verbal communication abilities; comfortable interacting confidently at senior levels within the organisation as well as externally.
- High level of discretion combined with professionalism; able to handle confidential matters sensitively using sound judgement at all times.
- Proficiency using Microsoft Office suite along with digital or AI-enabled tools designed to improve efficiency across administrative functions.
- Proactive approach; you anticipate needs before they arise, identify potential risks early on, and take ownership of solutions without waiting for direction.
- Eagerness to learn new skills; open-minded about stretching into broader areas of responsibility as business needs evolve over time.
- Experience working within professional services environments is highly regarded but not essential for success in this role.
- Familiarity with platforms such as Xero accounting software, Projectworks resource management tools or Employment Hero HR systems would be advantageous though not mandatory.
