What you'll do:

As an Executive Assistant in this pivotal role based in Perth CBD, you will immerse yourself in a diverse range of activities designed to streamline the day-to-day life of a senior leader. Your days will be filled with tasks that require meticulous attention to detail, from managing complex diaries and preparing high-level communications to acting as a trusted liaison between various teams.

  • Serve as the primary point of contact for the executive, managing urgent and sensitive matters to ensure optimal use of their time while maintaining confidentiality at all times.
  • Deliver comprehensive executive and administrative support including complex diary management, preparation of virtual meetings, and provision of secretariat services.
  • Draft, review, and manage high-level communications and correspondence on behalf of the executive, ensuring accuracy and discretion in every interaction.
  • Liaise effectively with internal teams and external stakeholders to distribute correspondence promptly and resolve issues efficiently.
  • Continuously improve digital filing systems to guarantee seamless access to information and efficient document management.
  • Process incoming correspondence by prioritising actions for the executive or handling matters independently when appropriate.
  • Coordinate intricate travel arrangements in collaboration with office management staff to ensure all logistics are handled smoothly.
  • Prepare daily emails, memos, briefing notes, and other communications while screening calls and enquiries to address or escalate as needed.
  • Maintain up-to-date databases of contacts and correspondence, following up on outstanding matters to keep the executive fully informed.

What you bring:

  • A minimum of 5–10 year's experience as an Executive Assistant supporting C-suite executives or equivalent senior leaders within complex organisations.
  • Demonstrated capability in managing highly confidential information with absolute discretion and professionalism at all times.
  • Exceptional organisational skills paired with advanced time-management abilities that allow you to juggle multiple priorities effectively without compromising quality.
  • Meticulous attention to detail combined with strong follow-through on all tasks—large or small—to ensure nothing falls through the cracks.
  • Advanced proficiency in Microsoft 365 applications (Outlook, Word, Excel, PowerPoint), enabling you to produce polished documents quickly and efficiently.
  • Outstanding written and verbal communication skills that facilitate clear interactions with stakeholders at every level inside and outside the organisation.
  • A positive work ethic characterised by a willingness to take on any task necessary for success—no matter how big or small—with enthusiasm.
  • Proven ability to anticipate needs proactively by thinking ahead and taking initiative before issues arise or requests are made.
  • Previous experience within finance or professional services environments is highly regarded but not essential; adaptability across industries is welcomed.
