AO4 Executive Assistant
An exciting opportunity has arisen for a dedicated Executive Assistant to join a highly respected government department based in Brisbane CBD. This role is perfect for someone who thrives in a supportive and inclusive environment, where your attention to detail and commitment to excellence will be valued every day. You will play a pivotal part in ensuring the smooth operation of the Legal Team, providing high-level executive support to the Chief Legal Counsel. This contract is until September 2025 initially with the potential to extend.
What you'll do:
- Organise and prioritise workflows by managing correspondence, scheduling appointments, coordinating travel arrangements, preparing meeting packs, presentations, reports, and handling expense claims with accuracy and efficiency.
- Book suitable meeting rooms, set up facilities as required, escort visitors when necessary, and ensure all meetings run smoothly from start to finish.
- Undertake confidential research on various matters, follow through on tasks to completion, and deliver accurate reporting.
- Draft correspondence items for senior leaders, monitor deadlines across the branch, liaise with officers, and ensure timely completion of all communications.
- Assist in preparing documents such as correspondence, presentations or reports as needed.
- Deliver day-to-day IT support within the branch as required to maintain operational efficiency.
- Build and maintain strong working relationships with key stakeholders including staff at all levels within the division as well as external clients and members of the public.
What you bring:
- Demonstrated experience providing high-level executive support within a large organisation or government setting where confidentiality is paramount and attention to detail is critical.
- Exceptional organisational skills enabling you to manage competing priorities effectively while maintaining accuracy across multiple tasks such as diary management, travel coordination, document preparation and expense reconciliation.
- Excellent written communication abilities allowing you to draft clear correspondence for senior leaders while monitoring deadlines across diverse teams.
- Strong interpersonal skills that enable you to build rapport with stakeholders at all levels both internally within administration networks and externally with clients or members of the public.
- Proficiency in using office technology including Microsoft Office Suite (Word, Excel, PowerPoint) along with confidence in providing basic IT support when required.
