AO6 Senior Executive Services Officer

An exciting opportunity has arisen for a Senior Executive Assistant to join a high-profile infrastructure project for an initial 6 month contract. This pivotal role sits at the heart of a major public transport initiative, offering you the chance to make a meaningful impact on the community while developing your professional skills in a supportive and inclusive environment.

What you'll do:



  • Coordinate the receipt, allocation, response, and finalisation of all executive correspondence and briefing requests using electronic document management systems.
  • Ensure all correspondence and briefing materials are accurate, timely, clear, and aligned with approved templates and style guides as well as relevant government guidelines.
  • Assist in preparing Cabinet or Parliament-related documentation to support executive decision-making processes.
  • Support secretariat functions by preparing monthly reports, Board and Committee agendas, minutes, and papers with meticulous attention to detail.
  • Maintain effective records management practices using document control tools such as TRIM to ensure compliance with organisational standards.
  • Provide quality assurance by critically reviewing documents for accuracy, relevancy, and alignment with organisational objectives before submission.
  • Manage the flow of Cabinet, Parliamentary, and Executive Council briefings between internal teams and external government agencies to facilitate seamless information exchange.
  • Develop strong working relationships with staff across departments as well as external stakeholders through effective liaison and communication.
  • Contribute to the coordination of Annual Budget and Estimates hearing processes by providing reliable administrative support.
  • Actively participate in team planning sessions and service improvement initiatives to enhance overall performance.


What you bring:



  • Demonstrated excellent organisational skills that enable you to coordinate complex briefing materials efficiently within tight deadlines.
  • Highly developed written communication skills allowing you to draft clear correspondence, briefing papers, and governance documents tailored for diverse audiences.
  • Proven ability to develop collaborative working relationships with both internal colleagues and external stakeholders through considerate communication.
  • Experience utilising electronic document management systems such as TRIM or similar platforms for effective record keeping.
  • Strong analytical skills enabling you to review internal processes critically and contribute ideas for continuous improvement in correspondence management.
  • Capacity to work effectively in a fast-paced project environment while maintaining accuracy under pressure.
  • A commitment to upholding values of inclusivity, respect, honesty, and teamwork in all professional interactions.
  • Ability to provide quality assurance by reviewing documents for accuracy, relevance, and alignment with organisational goals before dissemination.
  • Experience supporting secretariat functions including preparation of reports, agendas, minutes, and board papers is highly desirable.
  • Familiarity with government protocols regarding Cabinet or Parliamentary documentation would be advantageous.
