What you'll do:
As a Human Resources Officer, you will play an integral role in supporting the day-to-day operations of position management within a leading educational institution. Your responsibilities will span from providing expert advice on position management processes to maintaining accurate records in key HR systems such as Workday. You will collaborate closely with managers and staff across various departments to ensure seamless execution of HR transactions while upholding data integrity. Your ability to prepare detailed bulk upload files for mass updates will be essential in keeping organisational structures current. In addition to routine tasks, you will have the opportunity to participate in special projects aimed at improving service delivery. Success in this role requires strong interpersonal skills, meticulous attention to detail, and a proactive approach to problem-solving. By contributing your expertise to process enhancements and quality initiatives, you will help drive the effectiveness of the HR function while supporting the broader goals of the institution.
- Provide timely and accurate advice and administrative support for all aspects of position management services, ensuring queries are resolved efficiently and with a focus on customer satisfaction.
- Assist managers and staff in effectively utilising position management systems such as Workday, offering guidance on best practices and troubleshooting issues as they arise.
- Review exception reports and notifications regularly, making necessary adjustments to resolve anomalies within the system promptly.
- Update reporting relationships in payroll systems as required, maintaining data integrity across all platforms.
- Create new positions on an ad hoc basis, manage changes including reporting lines, freeze or end-date positions, and link substantive or concurrent roles as needed.
- Establish and maintain supervisory organisations within Workday, ensuring descriptors are up-to-date and obsolete structures are appropriately closed off.
- Prepare bulk upload files for mass position creations or updates, ensuring accuracy and compliance with organisational policies.
- Undertake ad-hoc projects or activities as directed by your manager, applying relevant enterprise agreements, delegations of authority, policies, and procedures throughout your work.
- Contribute to process improvements by identifying opportunities for greater efficiency or reliability in position management procedures.
- Support the delivery of high-quality HR services by providing tools, frameworks, and metrics that enhance overall performance.
What you bring:
To excel as a Human Resources Officer in this environment, you will bring proven experience working within human resources or related administrative functions—ideally gained within higher education or another large-scale organisation. - A bachelor’s degree in a relevant field or an equivalent combination of training and experience that demonstrates your capability for this role.
- Demonstrated experience providing high-level customer service within a complex organisational environment, ideally within higher education or the tertiary sector.
- Exceptional attention to detail coupled with a high level of accuracy when managing sensitive data across multiple systems.
- Excellent interpersonal skills with the ability to communicate clearly and work collaboratively as part of a team focused on shared outcomes.
- Strong time management and organisational abilities that enable you to meet deadlines while balancing competing priorities effectively.
- High level computer literacy with proficiency in Microsoft Office applications (Word, Excel, Outlook) as well as experience using enterprise HR systems such as Workday or similar platforms.
- A sound understanding of HR policies, procedures, enterprise agreements, delegations of authority, and compliance requirements relevant to position management.
- Proven ability to identify opportunities for process improvement while maintaining service excellence standards for internal stakeholders.
- Capacity to exercise initiative and judgement when resolving routine matters independently while seeking guidance on more complex issues when appropriate.
