Legal Secretary - Property

Our client is a leading boutique law firm located in the heart of Sydney CBD. As a Legal Secretary within the Property Law team, you will play a crucial support role in the day-to-day running of conveyancing and property matters. Working closely with our solicitors, you will provide administrative and legal secretarial support with a strong focus on efficiency, attention to detail, and client service.

Key Responsibilities:

  • Prepare, edit, and format legal documents and correspondence related to property transactions
  • Assist with the preparation and lodgement of PEXA and Land Registry Services (LRS) forms
  • Manage client files including digital filing and document management using our Document Management System (DMS)
  • Draft and address letters and other communications
  • Organise and maintain property matter files in accordance with firm protocols
  • Communicate professionally with clients, agents, and external stakeholders
  • Perform general administrative duties including data entry, scanning, filing, and calendar management
  • Provide clerical support during transactions, settlements, and file closings
  • Adhere to internal compliance procedures and assist in maintaining best practices across the property team

Key Skills & Experience:

  • Previous experience in a legal secretarial or administrative role, ideally within a property or conveyancing team
  • Strong computer literacy and proficiency in Microsoft Office (especially Word and Excel)
  • Experience with Adobe Pro and legal document formatting
  • Familiarity with PEXA and LRS platforms preferred
  • Excellent typing skills with a high level of accuracy and strong spelling and grammar
  • Strong attention to detail and time management abilities
  • Effective written and verbal communication skills
  • Willingness to learn, adapt, and contribute to a collaborative team environment

  • Positive attitude and a professional demeanour
  • Initiative and problem-solving skills
  • Demonstrated enthusiasm for property law or legal practice
  • Basic secretarial training in document presentation, formatting, and legal correspondence
