Executive Assistant

Save job

An opportunity has arisen for an Executive Assistant professional to join a thriving department located in the Adelaide CBD. This full-time, Monday-to-Friday position is perfect for someone who thrives in a busy environment and enjoys providing high-level support to senior leaders. The role offers the chance to make a significant impact by ensuring seamless operations and supporting key decision-makers. If you are looking for a role where your organisational talents, attention to detail, and ability to adapt quickly will be truly valued, this could be the ideal next step in your career. You will benefit from working within a supportive team that values collaboration, flexibility, and professional growth, all while enjoying a vibrant workplace culture.

What you'll do:

In this role you will play a pivotal part in supporting senior leadership through expert organisation and proactive problem-solving. You will be trusted to handle sensitive information discreetly while maintaining open lines of communication between executives and their teams. Success in this position comes from your ability to juggle multiple responsibilities simultaneously while remaining calm under pressure. Your collaborative approach will help foster positive relationships throughout the department as you contribute to both daily operations and long-term projects.

  • Deliver comprehensive administrative support at an executive level, ensuring all tasks are completed efficiently and with meticulous attention to detail.
  • Manage complex diaries and calendars for senior leaders, coordinating meetings, appointments, and events with precision.
  • Take accurate minutes during meetings, track action items diligently, and ensure timely follow-up on outstanding agenda points.
  • Draft, prepare, and proofread correspondence, letters, and documentation to maintain high standards of professionalism across all communications.
  • Handle incoming phone calls and email enquiries promptly, demonstrating excellent communication skills and a courteous manner at all times.
  • Prepare monthly reports and papers by gathering relevant data, formatting documents professionally, and distributing materials as required.
  • Support the smooth running of daily operations by anticipating needs and proactively resolving issues before they arise.
  • Collaborate closely with colleagues across departments to foster a cooperative team environment focused on shared goals.
  • Assist with ad hoc projects or assignments as directed by executives, adapting quickly to shifting priorities when necessary.

What you bring:

To excel as an Executive Assistant in this setting, your background should include substantial experience supporting senior leaders in environments where priorities can change rapidly. Your proven ability to communicate clearly will be invaluable as you liaise with internal teams and external contacts alike. You bring not only technical proficiency but also emotional intelligence: understanding the importance of discretion when handling confidential matters while remaining approachable and dependable.

  • Demonstrated experience as an Executive Assistant within a fast-moving environment is essential for this role.
  • Exceptional interpersonal abilities enable you to build rapport easily with colleagues at all levels of the organisation.
  • Outstanding written and verbal communication skills allow you to draft clear correspondence and interact effectively with stakeholders.
  • Demonstrated ability to manage competing priorities without compromising quality or deadlines.
  • Proven time management expertise enables you to meet tight deadlines while maintaining accuracy across all tasks undertaken.
  • Flexibility and adaptability empower you to respond positively when priorities shift or urgent matters arise unexpectedly.
  • A collaborative mindset supports harmonious teamwork while also allowing you to work independently when needed.

Must have or be willing to apply for a National Police Check.
