We are looking for a capable and motivated Associate to join our team in a role that is central to supporting Advisers and maintaining the integrity and efficiency of our client operations. This position requires a high level of attention to detail, excellent time management, and the ability to navigate complex systems and client requirements with confidence and discretion.
In this role, you will be responsible for the accurate execution of trades, the implementation of investment instructions, and the coordination of portfolio rebalancing and capital call processes. You will manage client instructions across a variety of platforms, including Netwealth and IRESS, ensuring that all transactions are processed within expected timeframes and in compliance with internal policies and industry standards.
You will work closely with Advisers to support the onboarding of new clients, which includes preparing and processing documentation, managing account setups, and ensuring data accuracy across all records. Ongoing client service will form a significant part of your role, requiring proactive management of service requests, account changes, and detailed tracking of client interactions and outcomes.
You will also act as a key point of contact for clients, managing inbound communication via phone and email, resolving queries, and coordinating effectively with external stakeholders such as accountants, legal representatives, and platform providers. Your ability to communicate clearly and professionally will be essential in maintaining trusted relationships and delivering consistent service excellence.
The role includes responsibility for the maintenance and accuracy of client records, the preparation of file notes from meetings, and the tracking of action items. You will ensure all compliance documentation is up to date, including Investor Certificates, Fee Disclosure Statements, and Renewal Notices. A clear understanding of regulatory obligations and an ability to follow structured processes will be vital to your success.
As part of your contribution to operational excellence, you will also play an active role in identifying areas for process improvement. You will develop and update internal documentation and workflows that support streamlined administration, enhanced client experiences, and stronger internal controls. Your ability to take initiative, suggest improvements, and implement best practices will be highly valued by the broader team.
This position is ideal for someone with two to five years of experience in a similar client operations or professional services support role, ideally within financial services. Familiarity with financial platforms, particularly Netwealth and IRESS, along with a sound understanding of trade execution and investment-related processes, is highly regarded. You will bring strong communication skills, high attention to detail, and the ability to manage competing deadlines in a fast-paced environment. A bachelor’s degree in business, finance, or a related discipline is required, and previous experience with tender support or documentation would be considered an advantage.
