A03 Project Support Officer
An exciting opportunity has arisen for a Project Support Officer to join a transformative rail infrastructure project based in Brisbane CBD. This role offers you the chance to play a pivotal part in the delivery of a major public transport initiative that will shape the future of Queensland’s passenger rail network. The contract is for 6 months initially, and is a great entry point to further your support skills within a thriving industry.
What you'll do:
- Deliver comprehensive administrative support services including database management, word processing, office logistics such as purchasing supplies and equipment bookings, correspondence tracking, file management, and electronic mail handling.
- Communicate effectively with various levels of management, members of the public, industry representatives, senior executives from both public and private sectors, as well as divisional staff on a wide range of issues.
- Carefully analyse enquiries or requests from internal and external stakeholders by researching information, determining appropriate actions, and responding on behalf of senior project leaders.
- Proactively manage diary requirements for the Project Director by scheduling governance meetings and other key appointments to ensure efficient use of time; organise and attend meetings, seminars, conferences, and provide full administrative support including minute-taking when required.
- Monitor, maintain, update, and progress correspondence along with related filing systems to ensure deadlines are consistently met in line with government standards.
- Provide accurate support for routine administrative processes related to Human Resources, Finance, Procurement, and other business needs with a focus on timely completion of activities.
What you bring:
- Demonstrated experience supporting infrastructure projects within an engineering environment where attention to detail is paramount.
- Proven track record in delivering high-level administrative support within fast-moving environments requiring exceptional organisational skills.
- Comprehensive understanding of scheduling practices for senior executives including meeting coordination and accurate minute-taking abilities.
- Familiarity with public sector operations or large organisations coupled with a strong commitment to confidentiality and privacy regulations.
- Outstanding organisational skills enabling effective management of competing priorities while consistently meeting strict deadlines.
- Excellent written and verbal communication skills allowing you to liaise confidently with diverse internal teams as well as external partners.
- Meticulous attention to detail combined with problem-solving abilities that enable anticipation of project needs before they arise.
- Resourceful approach towards task completion under pressure while maintaining quality outcomes at all times.
- Resilience and adaptability when navigating ambiguity or shifting priorities within complex project environments.
