Client Services Coordinator
As the Client Services Coordinator, you will provide high-level admin and operational support to a team of accountants, helping ensure seamless delivery of client services. You will play a key role in managing workflow, maintaining client records, coordinating ATO lodgements and correspondence, preparing documentation and supporting billing processes. This role is ideal for someone with prior experience in an accounting or tax environment who enjoys working in a structured,setting.
Key Responsibilities
Client Services & Administration
- Act as a key point of contact for clients, providing timely and professional administrative support
- Request and collate client information and documentation prior to commencement of accounting work
- Prepare and issue engagement letters and follow up outstanding documentation
- Maintain accurate client information across multiple systems and databases
- Assist with client onboarding, offboarding and business structure administration
Workflow Coordination
- Create and manage jobs within workflow systems to ensure accurate tracking of work progress
- Monitor milestones and proactively follow up outstanding tasks with accountants and clients
- Coordinate workpapers and supporting documentation for accounting teams
- Assist with workflow and WIP reporting to support billing and job completion
ATO & Compliance Administration
- Manage ATO correspondence and administration on behalf of the team
- Assist with daily ATO lodgements including income tax returns, BAS and IAS submissions
- Liaise with the ATO, accountants and clients regarding lodgements, extensions, outstanding debts and payment arrangements
- Coordinate distribution of ATO notices, activity statements and compliance-related communications
- Support management of lodgement schedules to ensure all deadlines are met
- Escalate client compliance issues to accountants where required
Billing & Team Support
- Assist with invoicing, billing administration and WIP reporting
- Coordinate document management, filing and secure client records
- Support calendar management, meeting coordination and general team administration
- Assist with induction and onboarding of new team members
- Contribute to process improvement initiatives across the business
About You
You will ideally bring:
- Previous experience as a Client Services Administrator, Practice Administrator or similar role
- Prior experience within an accounting, tax or professional services environment
- Strong understanding of ATO processes, tax terminology and compliance requirements
- High attention to detail and strong organisational skills
- Ability to manage competing deadlines in a fast-paced environment
- Excellent written and verbal communication skills
- Strong customer service mindset and relationship-building skills
- Intermediate to advanced Microsoft Office skills
