Receptionist
An exciting opportunity has arisen for a Receptionist to become the welcoming face and first point of contact at a highly respected financial services organisation based in Melbourne CBD. As the Receptionist, you will play a pivotal role in providing an exceptional front-of-house experience. You will manage the reception desk, greeting visitors, managing meeting rooms and supporting both internal and external guests. This is the chance to work for a reputable and growing organisation.
What you'll do:
- Greet and welcome all clients, guests, and visitors with warmth and professionalism
- Answer, screen, and forward incoming phone calls efficiently while taking detailed messages
- Manage visitor flow by controlling access for security purposes
- Maintaining accurate records of arrivals and departures
- Maintain a clean, organised, and presentable reception area at all times
- Oversee the management of incoming mail including opening, sorting, scanning, distributing correspondence, as well as handling outgoing deliveries promptly
- Coordinate courier bookings by establishing time frames from senders, booking services as required
- Processing related invoices accurately
- Organise catering requirements for meetings or events by liaising with internal stakeholders
- Manage booking requests for front-of-house meeting rooms to guarantee smooth scheduling
- Engage with internal stakeholders across various business units to understand requirements and accommodate
- Demonstrate compliance with relevant policies and legislation
What you bring:
- Demonstrated experience in providing excellent customer service
- Experience within a front-of-house or reception environment (highly desirable)
- Strong interpersonal capabilities
- Outstanding planning and organisational skills
- Good time management skills
- Proficiency in using office software such as Microsoft Office suite (Word, Excel, Outlook) and Teams
- Excellent verbal and written communication skills
- A high level of professionalism coupled with discretion when dealing with sensitive information or confidential matters
- A positive attitude towards teamwork
- Previous experience in a financial services environment or possession of qualifications in Business/Management/Administration would be advantageous but not mandatory.
