What you'll do:
As a Project Support Officer based in Nerang, you will become an integral member of the Special Projects team responsible for facilitating the smooth delivery of essential infrastructure projects throughout the South Coast Region. Your day-to-day activities will involve managing a range of administrative functions such as organising meetings, preparing reports, maintaining detailed records, and supporting procurement processes. You will be relied upon to ensure that all project documentation is meticulously compiled and tracked so that deadlines are consistently met. By collaborating closely with project managers and other team members, you will help maintain high standards of compliance while contributing to the successful completion of complex road network initiatives. Your ability to communicate effectively and manage multiple priorities will be key as you provide valuable support across all stages of project delivery.
- Provide comprehensive administrative support to project managers and team members by coordinating meetings, preparing agendas, taking minutes, distributing documents, and maintaining accurate records.
- Establish and manage spreadsheets, registers, and databases to ensure information is up-to-date and easily accessible for all stakeholders involved in project delivery.
- Assist with financial approval processes by preparing relevant documentation, tracking submissions, and ensuring compliance with internal governance frameworks.
- Support contract administration activities including preparation of procurement documentation, liaising with external parties, and assisting with tender processes in accordance with departmental policies.
- Monitor project documentation to guarantee accuracy, timely compilation, tracking, recording, and follow-up for approvals within established timeframes.
- Deliver timely updates and presentations as required to keep all team members informed about project progress and key milestones.
- Ensure operational practices adhere strictly to departmental policies, regional standards, legislative requirements (including Work Health & Safety), and governance obligations at all times.
- Collaborate closely with various Project Managers to provide responsive administrative support that ensures critical tasks are completed within specified deadlines.
- Contribute positively to the overall effectiveness of the Special Projects team by sharing knowledge, supporting colleagues, and fostering an inclusive work environment.
What you bring:
To excel as a Project Support Officer in this role you will bring proven experience in providing reliable administrative assistance within busy project environments—ideally related to infrastructure or public sector operations. Your background should include hands-on use of information management systems for tracking documents as well as proficiency in Microsoft Office applications such as Word, Excel, PowerPoint or similar tools. You will have demonstrated your ability to coordinate multiple tasks simultaneously while maintaining meticulous attention to detail under tight deadlines. - Demonstrated experience providing high-level administrative support within a project or office environment using a broad range of computer software programs and information management systems.

- Strong organisational skills with a track record of coordinating meetings, preparing agendas and minutes, distributing documents promptly, and managing competing priorities efficiently.
- Experience supporting procurement activities including preparation of documentation for tenders or contracts while adhering to strict governance frameworks.
- Excellent written and verbal communication skills enabling you to prepare clear reports, deliver presentations when required, and liaise professionally with both internal teams and external stakeholders.
- A thorough understanding of compliance requirements relating to departmental policies, regional standards, legislation (including Work Health & Safety), and governance obligations relevant to public sector projects.
- Ability to work collaboratively within a diverse team environment by sharing knowledge openly, supporting colleagues proactively, and contributing positively towards shared goals.
- Current holder of a Class C driver's licence as required for this role along with willingness to undergo Criminal History Screening prior to appointment.
