The role in detail:
- Delivering high-level executive support, including complex diary orchestration, meeting coordination, and stakeholder engagement.
- Managing end-to-end domestic and international travel arrangements aligned to policy, efficiency, and executive requirements.
- Coordinating the preparation and submission of Board papers, Audit & Risk Committee materials, and senior leadership documentation.
- Overseeing expense management processes, including credit card reconciliation and system administration (Workday, Concur).
- Supporting onboarding and offboarding processes for contingent workforce and external service providers.
- Maintaining governance frameworks, including Gifts & Hospitality registers and associated reporting obligations.
- Assisting with policy administration, document control, and compliance-related processes.
- Partnering with finance and taxation teams on records management, processing, and continuous improvement initiatives.
- Acting as a trusted liaison across internal stakeholders and external partners to ensure seamless communication and resolution.
- Contributing to operational enhancement and process optimisation initiatives across the broader team.
Key qualities we're seeking:
- Demonstrated experience in executive support, administration, or coordination within complex, fast-paced environments.
- Advanced capability in diary, travel, and stakeholder management at senior executive level.
- Strong emotional intelligence with the ability to influence, engage, and build trusted relationships.
- Highly developed organisational skills with the ability to prioritise competing demands under pressure.
- Experience using enterprise systems such as Workday, Concur, or equivalent platforms.
- Exceptional written and verbal communication skills with a high degree of professionalism.
- Meticulous attention to detail, particularly when managing confidential or financial information.
- A proactive, solutions-focused mindset with a strong commitment to collaboration and service excellence.
- Tertiary qualification in Business, Administration, or equivalent experience highly regarded.
