Quality, Records & Training Management Specialist
A leading energy provider is seeking a Quality, Records and Training Management Specialist to join their team at in Newport for a three-month engagement initially. This role offers you the opportunity to work in a supportive environment where your expertise in document management, training coordination, and compliance will be highly valued. What you'll do:
As a Quality, Records and Training Management Specialist, you will play a pivotal role in supporting the operational excellence of one of their sites.
- Maintain employee and contractor training records using Altora and Objective platforms.
- Set up online training courses in Altora and assist with scheduling and planning.
- Manage controlled documents through the QMS system for Newport, developing, reviewing, implementing registers, and communicating changes effectively.
- Monitor controlled documents for consistency and maintain hard copy filing systems.
- Oversee the Newport Drawings system including managing temporary draftsman assignments.
- Support procurement activities by setting up new vendors in the system and converting purchase requisitions into purchase orders using SAP/Maximo.
- Resolve invoicing queries promptly, manage accruals processes, upload financial data into S4 (SAP), and contribute to monthly forecasts.
- Ensure compliance with FIRB reporting obligations by liaising with Procurement, Legal, Jeeralang, and Reporting officers to submit reports on time.
- Provide Objective software support to Engineering and Legal teams on an ad hoc basis.
- Manage physical documents onsite at Newport by organising sources according to established procedures and offering advice on migration of drawings.
What you bring:
- Experience in a similar role OR document control, records management or training processes.
- Proven experience with SAP (Desirable)
- Ability to maintain accurate employee and contractor training records
- Experience managing controlled documents
- Competence in handling physical documents onsite
- Strong interpersonal skills
