This is a high-impact opportunity supporting a senior executive in a dynamic resources organisation. As Executive Coordinator to the COO, you will manage priorities, coordinate meetings, and prepare high-quality briefings and presentations. You will distil complex information into clear insights while acting as a key link across stakeholders in a fast-paced environment.

Position: Executive Coordinator

Location: West Perth

Reporting to: Chief Operating Officer (COO)

Role Overview

This role provides high-level, trusted support to the Chief Operating Officer, combining executive coordination with advanced capability in communications, presentation development, and briefing support. Operating at the centre of the business, the Executive Coordinator plays a critical role in ensuring the COO is effectively supported across daily operations, strategic priorities, and stakeholder engagement.

This is a fast-paced, high-trust position requiring strong judgement, discretion, and the ability to anticipate needs, manage competing priorities, and deliver high-quality outputs under pressure.


Key Responsibilities

Executive Coordination

  • Manage complex and dynamic executive diaries, ensuring effective prioritisation of commitments

  • Coordinate internal and external meetings, including agendas, papers, minutes, and action tracking

  • Arrange travel, accommodation, and detailed itineraries

  • Track key actions and follow-ups to support timely delivery of outcomes

Executive Communications & Briefings

  • Prepare high-quality presentations, reports, and executive briefing materials

  • Translate complex discussions into clear, concise, and structured documentation

  • Draft correspondence, talking points, and background papers for executive use

  • Research and prepare stakeholder profiles and meeting summaries

Stakeholder & Business Awareness

  • Maintain awareness of key stakeholders, industry developments, and emerging issues

  • Monitor relevant media and provide succinct updates and insights to executives

  • Support preparation for stakeholder engagements, meetings, and events

Coordination & Liaison

  • Act as a central point of coordination between executives, internal teams, and external stakeholders

  • Facilitate clear communication and alignment across functions

  • Support senior leaders with ad hoc coordination and administrative requirements

Governance & Professional Standards

  • Handle sensitive and confidential information with discretion

  • Ensure high standards of accuracy, professionalism, and attention to detail

  • Support consistent and high-quality executive communication outputs


Skills & Experience

  • Proven experience in an Executive Coordinator, Executive Assistant, or similar role supporting senior leaders

  • Advanced Microsoft PowerPoint skills, with the ability to produce executive-level presentations

  • Exceptional written communication skills, including preparation of briefings and reports

  • Strong organisational skills with the ability to manage multiple priorities and deadlines

  • High level of professionalism, discretion, and stakeholder engagement capability

  • Experience operating in complex, fast-paced environments
