What you'll do:

In the capacity of Executive Assistant within this preeminent Investment Banking team, you will assume a pivotal role in facilitating the smooth operation of senior professionals’ schedules whilst coordinating complex meetings across diverse time zones. Your responsibilities will encompass close liaison with both internal stakeholders and external clients to ensure that every administrative aspect is executed flawlessly. You will be entrusted with processing expenses accurately, preparing impeccably presented materials for high-level meetings, and providing comprehensive office support as circumstances require. To excel in this role, you must demonstrate exceptional organisational acumen, refined interpersonal skills, and an ability to respond adeptly to evolving priorities.   • Oversee intricate scheduling and diary management for the Investment Banking Team, ensuring all meetings and appointments are meticulously coordinated across multiple international time zones.
  • Facilitate day-to-day meeting arrangements for team members as required, including the accurate recording of bankers’ client meetings within Salesforce.
  • Organise meeting rooms and establish video conferences or conference calls both domestically and internationally, ensuring all technical requirements are fulfilled for uninterrupted communication.
  • Arrange comprehensive business travel itineraries encompassing flights, accommodation, and transfers as necessary, demonstrating adaptability in response to any amendments or urgent requests.
  • Process and reconcile expenses in strict accordance with company policy guidelines, maintaining scrupulous records and ensuring prompt reimbursement for team members.
  • Assist with general office administration such as answering telephone enquiries, collaborating with fellow assistants to guarantee continuous coverage, and supporting daily operational requirements.
  • Prepare and bind pitch books or presentation materials as needed, ensuring all documentation is professionally presented ahead of significant meetings or client engagements.
