Team Assistant - Global Investment Firm
We are seeking a highly organised and proactive Team Assistant to join a leading global investment firm. This Sydney-based role will support a high-performing, fast-paced team with a wide range of activities, encompassing complex diary management, meeting coordination across different timezones, global travel coordination, expense management and corporate access and events. This is an excellent opportunity to join a globally recognised business and work in close proximity with Senior Executives, and grow and develop your career within financial services. You will gain valuable exposure within a professional, client-facing environment and be part of a collaborative and high-achieving team. Please note this role is full-time 5 days in office.
Key responsibilities include:
Supporting two Senior Executives and wider team with:
- Coordinating complex domestic and international travel arrangements (flights, accomodation, visa arrangements)
- Diary management and meeting coordination across different timezones
- Managing and processing expense claims in line with company policies
- Corporate Access and Events - Supporting the coordination of client and internal events, including logistics and materials
- Assisting with office coordination tasks and providing ad hoc team support
- Preparing PowerPoint presentations and assisting with reporting and data collation
- Managing schedules, records, and ensuring smooth day-to-day operations
- Building strong relationships with internal stakeholders and external clients
About you:
- Bachelor’s degree (essential)
- 2+ years’ experience as a Team Assistant, Office Administrator, or in a similar role
- Previous experience within financial services or a corporate environment is highly regarded but not necessary
- Strong Microsoft Office skills, particularly PowerPoint and Excel
- Highly organised with strong attention to detail
- Confident communicator with a professional and proactive approach
- A team player with a strong work ethic and willingness to learn
