Executive Assistant
An exciting opportunity for a experienced Executive Assistant to support a Chief People Officer in a leading Melbourne organisation. You'll manage priorities, senior stakeholders, and confidential information while supporting executive operations and gaining exposure to strategic initiatives and Board-level stakeholders.
A leading organisation in Melbourne is seeking an experienced Executive Assistant to support an amazing induvial in the leadership team. Ideal for someone who thrives in a fast-paced, collaborative environment and excels at managing priorities, senior stakeholders, and confidential information. You'll provide high-level administrative, event management, communication, and coordination support while working closely with executive leaders and Board stakeholders. This role offers exposure to enterprise-wide initiatives, strategic projects, and organisational design, alongside flexible working and professional development opportunities.
What you will do:
- Manage complex calendars, prioritise meetings, and coordinate schedules
- Prepare correspondence, reports, presentations, meeting agendas, and other executive documentation
- Coordinate domestic and international travel arrangements, accommodation, and itineraries
- Prepare and reconcile invoices, purchase requisitions, expenses, and other accounts processes
- Handle confidential and sensitive information with discretion and sound judgement
- Act as a key liaison between the Chief People Officer, Board members, executive leaders, and internal stakeholders
- Coordinate leadership meetings, town halls, workshops, offsite, and other team events
- Support the executive with day-to-day administration and anticipate requirements
What you bring:
- Previous experience as an Executive Assistant supporting senior executives
- Experience working within a large corporate environment, ideally in HR, People & Culture, or a similar function
- Strong organisational and time management skills with the ability to manage competing priorities
- Excellent written and verbal communication skills
- High attention to detail and strong administrative skills
- Excellent interpersonal skills with a collaborative and proactive approach
- Strong judgement and ability to manage confidential information
- Confidence working with senior stakeholders and Board-level contacts
- Strong Microsoft Office skills including Word, Excel, PowerPoint, and Outlook
- Experience with SAP or similar accounts management systems (desirable)
