Team Assistant
This role offers the opportunity to be at the heart of office operations, ensuring a welcoming, efficient, and well-organised environment whilst supporting the executive leadership team. * Be the central point of contact for all office operations, maintenance, and staff support. * Take ownership of cultural engagement initiatives by coordinating diversity events, volunteering activities, and key social gatherings that foster an inclusive workplace.
What you'll do:
- Serve as the primary point of contact for all office-related matters including maintenance requests, printer servicing, mailing and courier services, and stationery supplies to ensure smooth operations.
- Manage the sorting and distribution of incoming mail to employees
- Oversee timely payment of invoices for building suppliers and setting up purchase orders
- Ensure meeting rooms are kept clean and tidy, maintain overall office cleanliness standards
- Attend monthly meetings to stay informed about ongoing building-related issues and updates
- Support new starters by organising onboarding equipment etc.
- Maintain an electronic database for accurate records of staff passes and manage office layout changes
- Monitor food inventory
- Update product displays throughout the office
- Promote cultural engagement by coordinating diversity events, volunteering activities, social gatherings such as Christmas parties, town halls, and other key events.
- Send monthly credit card report reminders to cardholders when expenses have not been submitted; oversee Fire Warden and First Aider roles ensuring appropriate coverage.
What you bring:
- Your experience providing administrative support—including travel bookings, calendar management, expense processing—for executive leadership teams enhances your value as a Team Assistant
- Excellent organisational skills
- Strong interpersonal abilities
- Ability to prioritise own workload whilst handling multiple tasks
- Strong cmmunication skills both verbal and written
