Working closely with the accounting and superannuation teams, you'll bring accuracy, initiative and attention to detail to essential processes while building strong relationships across the practice.
The Opportunity:
This is an opportunity to take ownership of a diverse and rewarding administrative portfolio within a respected professional services firm. - Document approvals: Coordinate Fusesign workflows, proactively following up outstanding approvals to ensure timely completion.
- Trust administration: Prepare annual trust distribution minutes, ensuring accuracy and adherence to required standards.
- ATO and compliance: Manage daily ATO lodgements, reporting and related correspondence, maintaining supporting documentation through SmartDocs.
- Database management: Maintain the integrity of client records in MPM, including new client setups and updates to existing details.
- WIP and invoicing: Monitor work in progress, assist with invoice preparation, process write-offs and support accurate financial reporting.
- Debtor management: Process client receipts, prepare debtor reports and assist with effective cash flow management.
- Superannuation administration: Provide administrative support to the superannuation division, ensuring documentation and compliance requirements are met.
- AML and engagement processes: Coordinate client verification checks and engagement letters through Engage GPS.
- Practice coordination: Work closely with another Practice Administrator, sharing responsibilities and contributing to the effective running of the wider office.
What you'll bring:
You'll be a proactive and organised administrator who takes pride in delivering high-quality work and building strong professional relationships. You'll bring:
- Demonstrated administrative experience, ideally within an accounting or professional services environment.
- Strong organisational skills and the ability to manage competing priorities across a varied workload.
- Excellent time management, with a consistent focus on meeting deadlines and maintaining accuracy.
- Confidence navigating digital platforms, ideally including MPM, Nimbus, Fusesign, FYIdocs, SmartDocs and Engage GPS, or similar systems.
- Strong written and verbal communication skills, with the ability to engage professionally with clients and colleagues.
- Exceptional attention to detail, particularly when handling sensitive client information and compliance documentation.
- A proactive mindset, with the initiative to identify efficiencies and adapt to evolving systems and processes.
- A collaborative approach and willingness to contribute to a positive, team-oriented workplace.
The Team & Culture:
You'll be joining a practice that genuinely values its people, fostering a culture built on collaboration, loyalty, kindness and professional growth.
