Executive Assistant
Join a leading health regulation organisation as Executive Assistant to one of the Executive Directors. This is a high-impact, one-to-one partnership role where your judgement, financial capability, and executive support expertise will help drive strategic priorities and meaningful outcomes. Melbourne-based with hybrid flexibility, you’ll work closely with senior leaders to support safer healthcare for the community.
Please note, this is a 6-month fixed term opportunity.
Working closely with the Executive Director, Notifications Leadership Group, and broader business support network, you will help drive priorities, improve ways of working, and support a function dedicated to safer healthcare outcomes for the community.
The role in detail:
Your responsibilities will include:
- Partnering with the Executive Director to coordinate priorities, manage competing demands, and support effective decision-making.
- Managing confidential information, correspondence, and sensitive matters with discretion, maturity, and sound judgement.
- Supporting financial processes, reporting, and business administration activities with accuracy and confidence.
- Coordinating meetings, governance activities, documentation, and follow-up actions to ensure momentum across priorities.
- Preparing reports, briefing materials, and executive documentation to a high professional standard.
- Supporting the Notifications Leadership Group with strategic initiatives, operational improvements, and team priorities.
- Building strong relationships with stakeholders across the organisation and acting as a trusted point of contact.
- Identifying opportunities to streamline processes and enhance business effectiveness.
What we're looking for:
- Proven experience supporting senior executives within a complex, fast-paced, or regulated environment.
- Strong financial capability and confidence managing business processes, reporting, and operational activities.
- Exceptional organisation skills with the ability to prioritise, anticipate needs, and deliver with minimal direction.
- Strong judgement, discretion, and the ability to manage confidential information with integrity.
- Excellent written and verbal communication skills, with the confidence to engage stakeholders at all levels.
- A proactive, solutions-focused mindset and the ability to identify improvements that create efficiency.
- Experience working collaboratively across teams, including within hybrid and virtual environments.
