A leading Melbourne organisation seeks a dedicated Office Administrator to ensure smooth office operations. This role offers ongoing training, and a supportive team environment. You'll provide essential support to staff and visitors by being based on Reception but also providing basic IT and facilities support for the whole office. This is a 9-month temporary contract with the opportunity to work just outside of the CBD.

What you'll do:

As an Office Administrator in Melbourne, you will be responsible for creating a welcoming atmosphere for all visitors while supporting the Facilities Manager & IT Services Manager in various administrative tasks.

  • Provide general administrative support to the Facilities Manager for ANZ
  • Act as the first point of contact for visitors including VIPs and service staff
  • Manage incoming and outgoing mail, including couriers, while overseeing monthly invoicing reconciliation
  • Administer the internal security system by issuing staff and visitor security passes
  • Liaise with base building management to address facility-related issues
  • Coordinate with vendors regarding office maintenance matters
  • Monitor and order office supplies and stationery
  • Support teams and executive assistants with catering arrangements and meeting room preparation
  • Update documentation related to support issues or requests, ensuring accuracy and proper maintenance for future reference.
  • Provide 1st and 2nd line desk side support services to the business
  • Provide support to the Infrastructure teams to assist in resolution of technical faults
  • Assist wih product evaluation and the introduction of new technologies
  • Ensure all relevant IT equipment is encrypted
  • Undertake deployment refresh of IT equipment
  • Meet all IT Asset Management process requirements
  • General maintenance of all IT equipment e.g. PC's, MacBook's, Mobile Devices, Printers, Photocopiers, VOIP telephones and other hardware and software

What you bring:

  • Demonstrated experience in an administrative role where you consistently delivered high-quality customer service
  • Professional presentation skills that reflect your ability to represent the organisation
  • A positive attitude that enables you to remain calm under pressure
  • Proficiency with Microsoft Word, Excel, PowerPoint, or similar tools
  • Ability to work autonomously and well within a team
  • Excellent interpersonal and communication skills, both written and verbal
  • Strong attention to detail
  • Effective time-management with ability to meet deadlines
  • Good understanding of mobile technologies such as iPhone/iPad, Android Mobile
